This Privacy Policy deals with how SaaS Labs collects, uses, discloses, and otherwise processes personal information associated with an identifiable individual based anywhere including European Economic Area (EEA) and United Kingdom (UK) residents, in connection with our websites www.easycalendar.com, other EasyCalendar websites (“Websites”), and EasyCalendar’s online platform app.easycalendar.com and EasyCalendar associated mobile and desktop applications (“Services”) and other interactions including webinars. This Privacy Policy does not apply to any other product sold by SaaS Labs. This Privacy Policy also lists the rights and choices available to individuals with respect to their information. If you do not agree with this Privacy Policy, then please do not access our Websites and Applications. For the avoidance of doubt, this Privacy Policy only applies to EasyCalendar.

Terms not otherwise defined in this Privacy Policy will have the meaning as outlined in the EasyCalendar Terms and Conditions.

This Privacy Policy does not apply to any third-party application that has been integrated with the Services (“Third-Party Integrations“), or any other third-party products and services that will provide their respective services under their own terms of service and privacy policy.

INFORMATION THAT WE COLLECT

User-provided Information

We process personal data when you provide it directly to us while using the Services, or otherwise.

Account and Profile Information: When you create the EasyCalendar account as an admin or set up your profile as a team member in the EasyCalendar account, you may provide personal information such as name, business email addresses, and mobile phone numbers. Any information associated with the settings on the EasyCalendar account including calendar and time zone settings is also collected.  

Information provided through the use of our Services: To provide the Services, we collect and process the data that you provide through the use of the EasyCalendar platform:  

Device Information: We collect information about your device and sessions including the Internal protocol (IP) address, type of browser and device used to access the Services, details about your operating system or device, location information or any other unique identifiers, cookie information, and the features you are using or requested.

Appointment Information: We collect the information while appointments are scheduled and set up. This information may include attendees' names, attendees email addresses, timing of the appointments, title, description, phone numbers, and location of the appointment. 

Integrations: The Services can integrate with various Third-Party Products. We collect and process the information that we receive from such integration including name, email address, phone number, payment information, credentials of the third party, and any other information that you give us access to.

Your communications with us: We collect data from you such as name, business email address, and business mobile number, when you request a demo or ask for information about the Service, request customer or technical support through our support channels including email and chatbots, to sign up to receive our newsletters or marketing updates, signing up for a webinar, when you submit web forms We also collect the contents of messages or attachments or any other information that you may provide us with.  

Payment Information: When you sign up for an EasyCalendar account or purchase any Plan of EasyCalendar, we will collect your billing information such as billing contact or billing address for your EasyCalendar account. You may also provide payment information such as a credit card number when subscribing to our Services. We use third-party payment service providers to manage payment processing and we receive the last four digits of your card number and the name on the card.

Conferences, Tradeshows, and Other Networking Events: We may attend conferences, tradeshows, and other networking events where we may collect your data such as name, business email address, mobile phone number, job title, company name who interact or express an interest in our Services.

Surveys and Feedback: We may contact you for customer surveys and feedback.  If you choose to participate in such surveys and feedback, you may be asked to provide data such as name, business email address, and job title.

Blogs, Forums, and Social Media Pages: We may collect your data such as name and email address if you submit any inputs concerning EasyCalendar using blogs, forums, or any social media pages.

Automatically Collected Information

Usage Data: When you interact with the Services, we will track and collect certain information including how you interact with the Services, the features that you use, and the links and buttons that you click while using the Services. Also, when you access the Websites or use the Services, we may automatically record certain information that may include your Internal protocol (IP) address, web browser, details about your operating system or device, location information, the web pages or websites that you visited before, during and after using the Websites, information about the links clicked, information about how you interact with the Website or Services, and other information about how you use the Website.

Cookies, Analytics and other Technologies: We use cookies, third-party partners such as advertising and analytics partners, and other technologies such as web beacons, device and pixels to provide functionality, to understand your usage of our Websites and Services, and recognise you across Services and devices.

Information collected from other sources

We may obtain your data, including name, email address, phone number, job title, company name from third parties and sources such as from SaaS Labs’ affiliates and subsidiaries, social media platforms, public databases, and our business, tech, solution, affiliate, and channel partners.

HOW WE USE YOUR INFORMATION

We use your data for various business purposes such as:

To communicate with you about the Services

We may use the account information that you provide while signing up with EasyCalendar to send you transactional emails, in-app notifications, or push notifications about account management, pricing changes, billing, and other administrative reasons relating to your EasyCalendar Account. We may communicate with you to provide customer support which includes resolving technical issues, product-related questions, analysing and repairing, and other miscellaneous requests. We may contact you via email or in-app notifications about giving feedback about EasyCalendar or our customer service.

We may send you updates about any changes to EasyCalendar Terms and Conditions, Privacy Policy, and any other agreement(s) or policies that you have agreed to. We may communicate with you about any security incidents or data breaches.

We may send you content as newsletters, product updates, EasyCalendar or SaaS Labs Group sponsored events or conferences, general event promotion or other promotional and marketing material via email that we may think would be of interest to you. You can opt out of receiving any such promotional or marketing content by following the instructions contained within the email or other content or contacting us at legal@saaslabs.co. Please note it may take up to ten (10) business for us to process your request. Additionally, despite opting out of receiving promotional or marketing content, you shall receive communications from us concerning any administrative matters.

We may contact you on your business phone number to discuss EasyCalendar or other similar products. If you have a scheduled call with one of the representatives of EasyCalendar via telephone or online, please note that the call may be recorded and transcribed in accordance with the law.

To provide you with the Services:

We use the data to operate, maintain, enhance, and provide all features of the Services, to provide the information that you request while using the Services, and to manage our account and billing, and our business relationship.

To develop and improve the Websites and Services:

We may use your Usage Data of the Websites and Services to understand and analyse the usage trends and preferences to improve the Websites and Services, and to develop new products, services, features, and functionality. We may use the information to customise the way you experience the Services.

Security:

We may use your information to authenticate and verify your login details. Further, we may detect, investigate, and prevent any malicious conduct, or fraudulent activity that may be against our Terms and Conditions and/or other agreement(s) or policies, or our third-party’s terms and policies. We may use your account information to detect and prevent any security incidents.

Legal Compliance:

Where it is required by law or where we believe it is necessary to protect our legal rights, interests, and the interests of others, we may use information about you in connection with any legal claims, compliance, audit functions, and disclosures in connection with fundraising, acquisition, merger or sale of a business.

With Consent:

We use information about you where you have given us consent to do so for a specific reason that is not listed above. This could include publishing case studies or your feedback on our Websites with your consent.

 

Legal Basis for Processing (For EEA/UK visitors and users): 

If you are located in the European Economic Area (“EEA”) or UK, we collect and process information about you only where we have a legal basis for doing so under applicable EEA and UK laws. The legal basis depends on the personal information collected, and the specific context in which we collect it.

We will normally collect Personal Data from you only where we need the Personal Data to perform a contract with you, or where the processing is in our legitimate interests and not outweighed by your data protection interests. We could also be under a legal obligation to collect data from you. We may also collect data where we have your consent to do so. You may withdraw your consent at any time.

 

DISCLOSING YOUR INFORMATION

Except as described in this Policy, we will not intentionally disclose your information that we collect or store to third parties without your consent. We may disclose information to third parties in the following circumstances:

Service Providers (Sub Processors)

We work with third-party service providers to support our websites, application development, hosting, maintenance, sales and marketing support, and other services. We may need to share your information with these service providers as part of providing those services. We limit the information provided to these service providers to that which is reasonably necessary for them to perform their obligations, and our agreements require the service providers to maintain the confidentiality of such information.

Business Partners

We work with third parties or Partners who provide consulting, sales, support, and technical services to deliver and support the implementation of the Services. We may disclose your information to these third parties in connection with their services or where you have agreed to that disclosure.

Integrations

You may integrate your EasyCalendar Account with other third-party products. We require each third-party products to provide us with all permissions for information accessible through the third-party products. When the third-party product is integrated with the EasyCalendar Account, then we may share information with the Third-Party Product with permission. In such situations, your data will also be subject to the Third-Party Product’s privacy policies.

Corporate Events

If you attend an event or webinar organized by us, we may share your profile and organizational details with the event or webinar sponsors when you register. In such situations, your data will also be subject to the sponsors’ privacy policies.

Change in Ownership

In the event we are acquired by another company whether by merger, acquisition, bankruptcy, sale of assets, or otherwise, all information will be disclosed to the acquirer company. You will be notified by e-mail and/or an in-app notification of any change in ownership.

Non-Personally Identifiable Information

We may make certain automatically collected, aggregated or otherwise de-identified information available to third parties for various purposes including marketing purposes or usage trends.

Law Enforcement, Legal Process and Compliance

We reserve the right to use or disclose your data if required to do so by law or in good-faith belief that such action is necessary to comply with the applicable law in response to a valid court order, judicial or other government subpoenas, or warrant, or to otherwise cooperate with law enforcement or other governmental agencies.

We also reserve the right to disclose the data that we believe, in good faith, is appropriate or necessary to (i) take precautions against any liability, (ii) to protect ourselves and/or others from fraudulent, abusive, or unlawful uses or activity, (iii) to investigate and defend ourselves against any third-party claims or allegations, (iv) to protect the security or integrity of the Websites and Services and any facilities or equipment used to make the Services available, and protect your safety and safety of others or (v) to enforce our contracts, agreements, order form(s), and other agreements.

Corporate Affiliates

We may share your data with our corporate affiliates and/or subsidiaries, and entities who are under common ownership with us.

Consent

We may disclose information about you to third parties when you give us consent to do so.

Advertising Partners

We may disclose your information to third-party advertising partners to market our own Services, such as provide targeted marketing about our own Services via third parties.

INTERNATIONAL DATA TRANSFERS

Our products are offered to our Customers on a Business to Business (B2B) basis and, in this instance, SaaS Labs is identified as a Data Processor. For all data held by SaaS Labs including about employees, sales, and marketing of SaaS Labs products, we act as a Data Controller.

We will transfer, process, and store your data in countries or regions other than the country or region in which you are a resident. Specifically, if you are located in the EEA or the UK, the data will be transferred to and stored on our servers in the United States. Our group companies may have access to your data that may be located in other countries, and these countries may have data protection laws that are different from the laws in your country.

If you are located in the EEA and/or the UK, then we may use the Standard Contractual Clauses that are approved by the European Commission, and the equivalent standard contractual clauses for the UK, where appropriate. YOUR RIGHTS

We provide our Customers with the opportunity to access, review, modify, and delete the data that we process, with exceptions.

You may opt-out from receiving promotional and marketing emails by following the instructions in the email, or by contacting us at legal@saaslabs.co. You will continue to receive administrative emails from us.

Privacy Rights as an EEA/UK Resident

If you are an individual located in the EEA/UK and subject to certain exceptions, you have the following rights in respect of your information:

  • Right of access: You have the right to request a copy of the Personal Data that we hold about you; If you require additional copies, then we will charge an additional fee;
  • Right of rectification: You have the right to correct and rectify the Personal Data that is inaccurate or incomplete;
  • Right to object: You have the right to object to processing of your Personal Data for certain purposes unless we demonstrate the compelling legitimate interest to process your Personal Data
  • Right of portability: You have the right to have the Personal Data that we hold about you in a structured, commonly used and machine readable format;
  • Right to be informed: You have the right to be informed about how we use your Personal Data in a clear and concise manner;
  • Right to deletion: You have the right to request for deletion of your Personal Data; We reserve the right to retain a copy of such data for archiving purposes, or to defend our rights in litigation;
  • Right to withdraw consent: Where the processing of your Personal data by us is based on consent, you have the right to withdraw the consent. Any such decision will not affect any processing that has already occurred nor will it affect processing of your Personal Data conducted in reliance of legal basis other than consent. Withdrawal of consent could lead to suspension or termination of your EasyCalendar account. If we process your Personal Data on a legal basis other than consent, then we reserve our right to continue processing that Personal Data subject to your Privacy Rights.
  • No automated processing: We do not undertake any decision-making solely based on automated processing;
  • Right to complaint: If your request or concern is not satisfactorily resolved by us, then you have the right to raise any concerns with the data protection authority that is authorised to hear those concerns.

You can exercise the rights listed above at any time by contacting us at legal@saaslabs.co. We will verify your identity once you make the request, and you may authorise an agent to make a request on your behalf.

Requests from End Users: We process data on behalf of our Customers and in accordance with their instructions as a data processor. If you believe that we have collected or stored your personal data on behalf of a Customer as a data processor and you wish to exercise your rights as mentioned above, you should direct the same requests to that Customer.

DATA RETENTION

We retain the data we receive as mentioned in this Privacy Policy for as long as you use the Service or as necessary to fulfil the purpose(s) for which it was collected, provide our Services, resolve disputes and establish defence, conduct audits, pursue legitimate business purposes, enforce our agreements, and comply with the law.

DATA SECURITY

Our top priority is to maintain the security of the data that we collect, use and process in accordance with this Privacy Policy. We have taken industry standard measures that maintain the security, integrity, and confidentiality of your personal information. We have received an internationally recognised security certification. Whilst we take all appropriate measures to safeguard the security of your data, given the nature of the Services, we cannot ensure or warrant that our systems are impenetrable. We cannot guarantee that your data during transmission through the Internet or while stored on our systems or otherwise will be completely safe from intrusion by others.  

CHILDREN’S PRIVACY

Our Services are not designed or marketed to children under the age of 13, or knowingly collect or solicit personal information of children below the age of 13 for its own purposes. If we become aware that a child under the age of 13 has provided us with their data, we will take steps to delete such data and will not retain the data in any form. Further, if you become aware of a child under the age of 13 who is using our Services and/or has provided their data to us, then please write to us at legal@saaslabs.co and we will take necessary steps to delete the information about that particular child.

We have appointed IT Governance Europe Limited to act as our EU representative. THIRD-PARTY WEBSITES AND SERVICES

The Websites and the Service may contain links to other websites and services provided by third parties, and these other websites and services may link to our Websites and Services. Any information that you provide on third-party websites or services is provided directly to the operations of such websites and services and is subject to those operators’ policies, if any, governing privacy and security, even if accessed through the Websites or the Services. We do not screen, endorse or approve and is not responsible for the content or privacy and security practices and policies of third-party websites or services to which links or access are provided through the Websites and/or Services. We encourage you to learn about the third parties’ privacy and security policies before providing them with information.

 

CHANGES TO THE PRIVACY POLICY

We may revise this Privacy Policy from time to time at our sole discretion. If there are any material changes to the Privacy Policy, we will notify you by emailing you or by posting a notice of such changes prominently on this page prior to such material changes taking effect.

Key Changes

Effective 12 April 2024

We are updating our Privacy Policy to give more detail about our data practices including how we use your information, and to whom we disclose the information. We’ve laid down the rights that you have over your Personal Data. The language used in the Privacy policy is user-friendly. We have also updated the contact information when you require more details on our data protection program and practices.
